What we collect and why
- When you enquire about a website: your name, business, phone, email and message, so we can reply and quote. Lawful basis: taking steps at your request before a contract, and our legitimate interest in responding.
- Local businesses we contact about our service: business names, owner first names where they are public, phone numbers (including mobiles), business email addresses, addresses, public profile links and short notes from their public profiles. We take these from public sources such as Google Maps, Facebook, Yell, Checkatrade, MyBuilder and Companies House, and use them to tell the business about a free preview website we've made for it. Lawful basis: legitimate interests. Marketing by email and text is also governed by the Privacy and Electronic Communications Regulations. Every message includes an opt-out, and if you object we stop straight away and keep a note so we never contact you again.
- Clients: contact, billing and account details, and the answers given on our sign-up form (business story, services, areas covered, photos you send us, memberships and accreditations, web address and registrar details, and Google Business Profile access), so we can provide the service. Lawful basis: our contract with you. Direct Debit payments are handled by GoCardless; we never see or store your bank details.
- Visits to preview websites: visit statistics (the time, whether it's a phone or computer, the website the visitor came from, the approximate town worked out from the connection, and which buttons were tapped), so we know whether a business has looked at the preview we made for it. We don't use cookies for this or store IP addresses; a visitor is counted with a one-day pseudonymous code (a scrambled value made from the connection, browser and date, which changes every day and which we don't use to identify anyone). Lawful basis: legitimate interests. Kept for up to 6 months.
- Enquiries sent through our clients' websites (including preview websites): the name, phone number, postcode and job details a customer enters. We pass them to the business the enquiry is for and keep a record of the request; we don't use them for anything else. For a client's live website we act as the client's processor.
Who we share it with
Our service providers only: Cloudflare (hosting), Google Workspace (email), Google Fonts (the typefaces on our websites), FormSubmit (delivers enquiry forms by email), GoCardless (Direct Debit payments), Xero (invoicing and accounts), PandaDoc (signing agreements electronically), WhatsApp (to message clients and receive photos), and the domain registrar we use to register web addresses. We don't sell personal data.
International transfers
Some of these providers may process personal data outside the UK. Where they do, we make sure a safeguard is in place, such as the UK Addendum to the EU standard contractual clauses or a UK adequacy decision.
How long we keep it
Enquiries for up to 12 months. Records of businesses we've contacted for up to 12 months after the last contact (opt-outs are kept so we never contact you again). Client records and sign-up answers for the life of the contract plus 6 years, for tax and accounting.
Your rights
You can ask for a copy of your data, or ask us to correct it, delete it, or stop contacting you, by emailing [email protected]. Where we rely on your consent, you can withdraw it at any time (for example by replying "stop" to a message); that doesn't affect anything we did before. You can also complain to the Information Commissioner's Office at ico.org.uk.
